Dear Sir / Madam,
Concern: Proof of importation of dairy products
Hereby we would like
to inform you that for any dairy product shipped from the European Union
from January 22nd 2009, it will be necessary to prove that customs
formalities for importation in the country of final destination have
been properly completed. A product shall be considered to have been
imported, when the customs import formalities, in particular those
concerning the collection of import duties in the third country, have
been completed.
Therefore, for each
shipment, we have to ask you to provide us with the following document:
< The customs
document or a copy or photocopy draft thereof; such copy or photocopy
shall be certified as being true copy by the customs authority which
endorsed the original document or by an official agency of one of the EU
member states in the country of destination (consulate, embassy,…) >
Moreover, in case of
a sales contract with the delivery condition ‘FOB’, a copy or photocopy
of the Bill of Lading will be required.
As regulation no. 612/2009 (previously 800/1999)
has been imposed by the European authorities and as the payment of the
export refund (the final step in the settlement of each sales contract)
is conditioned to submitting above mentioned document, we kindly ask you
to stamp and sign this letter to acknowledge receipt and approval and
return it to us by e-mail or fax.
Please make sure that this customs document
(sometimes also being called landing certificate, bill of entry, or
import declaration) has been originally signed and stamped by customs
and that it mentions the correct details (such as net and/or gross
weight, country of origin, C.N. code, container number, B/L number,
etc…). Furthermore, the document must show that goods have been
imported/customs cleared for final consumption within the country
concerned. And last but not least, customs clearance in the country of
destination needs to take place within one year after the customs export
clearance date in the E.U. and the originally signed, stamped and
correct customs import declaration form needs to be with the E.U.
authorities within this one year period as well.
In order to avoid
having to return incorrect documents to you, we kindly request you to
send us copies by fax or e-mail for approval first, before sending the
